PRODUCTION & OPERATIONS MANAGER

Title: Production & Operations Manager
Type: Full-Time, Long-Term
Classification: Exempt

Compensation: $65,000–$85,000 annually, commensurate with experience

Spilt Milk Collective offers a flexible, trust-based approach to paid time off. Time away is encouraged outside of active production periods, with the understanding that scheduling is coordinated around event needs.

Role Summary:

The Production & Operations Manager is a full-time, senior operations role responsible for overseeing the planning, coordination, and execution of Spilt Milk Collective productions and internal operations.

This role serves as the operational backbone of the business, providing consistent weekday coverage, proactive problem-solving, and hands-on support across events, productions, and internal systems. The ideal candidate is highly organized, anticipatory, and comfortable moving between strategic planning and on-the-ground execution.

This is a leadership role within a small, fast-moving company and requires a high level of ownership, judgment, and flexibility.

Work Structure & Availability:

  • Full-time role with consistent weekday availability

  • Core hours: Monday–Friday, approximately 9:00am–5:00pm ET, with the expectation of being generally available and responsive

  • Some day-to-day flexibility, balanced by production needs

Required availability during:

  • Active production weeks

  • Event days, including early mornings, evenings, and approximately two weekend days per month during busy periods

  • Approximately three extended (12+ hour) days per month tied to productions or events

  • Availability may be required the morning following a late event day, with flexibility provided when possible

Hybrid structure:

  • Remote work for planning, coordination, systems, and communication

  • On-site presence required for nearly all events, as well as site visits, tastings, walk-throughs, and key vendor coordination

  • Periods of more remote work may occur between productions

  • As the business grows, this role is expected to evolve toward more consistent in-person collaboration

Key Responsibilities:

Production & Event Operations

  • Own end-to-end production logistics across all events and projects

  • Build and manage timelines, run-of-shows, staff sheets, call sheets, and production calendars

  • Coordinate rentals, vendors, food and beverage orders, transportation, staffing, and on-site execution

  • Serve as the primary operational point of contact before, during, and after events

  • Anticipate needs, flag risks early, and solve problems proactively

  • Support day-of execution with hands-on coordination as needed

Client, Vendor & Internal Communication

  • Draft and manage client emails, proposals, scopes, and invoices

  • Communicate directly with clients, vendors, and collaborators

  • Track follow-ups and ensure details are executed accurately and on time

Internal Operations & Systems

  • Manage internal calendars, inboxes, and workflows

  • Maintain and evolve systems across Dubsado, Gusto, Google Drive, Canva, and internal trackers

  • Build, refine, and document SOPs, templates, and internal processes

  • Track expenses, budgets, reimbursements, and invoices

  • Support hiring, onboarding, and coordination of Production Assistants during peak periods

  • Step in as needed to keep productions and operations running smoothly

Leadership & Ownership

  • Act as the primary owner of day-to-day operations

  • Absorb ambiguity and manage last-minute needs without constant direction

  • Bring solutions, not just updates

  • Reduce the Founder’s operational load by proactively managing details and decisions

  • Support long-term planning, seasonal pacing, and capacity management

Ideal Candidate Profile:

  • 4–6+ years experience in production, events, hospitality, or operations

  • Comfortable in fast-paced, high-touch, design-driven environments

  • Highly organized, detail-oriented, and calm under pressure

  • Proactive communicator who flags issues early and proposes solutions

  • Seeking a primary, full-time role (not a part-time role)

  • NYC-based and able to be on-site regularly
